1. Introduction and Scope

This Payment Policy ("Policy") sets out the terms governing all payments made to Clima Awards, operated by Clima Impact Ltd, a company registered in England and Wales ("we", "us", or "our"), in connection with the Clima Awards programme ("Programme").

This Policy applies to all applicants, sponsors, partners, and other parties ("Payers") who make payments to us in connection with the Programme. It covers application and entry fees, sponsorship payments, and any other fees payable under these terms.

This Policy should be read in conjunction with our Terms and Conditions, Cookie Policy, and Privacy Policy, all of which are available on our Website at www.climaawards.com. In the event of any conflict between this Policy and the Terms and Conditions, the Terms and Conditions shall prevail.

Given the multi-jurisdictional nature of our Programme — covering the United Kingdom (UK), the Middle East (UAE and Saudi Arabia), and Africa (Nigeria) — this Policy is designed to comply with applicable payment, consumer protection, and financial regulations across all relevant jurisdictions.

2. Application and Entry Fees
2.1 Fee Structure

The applicable fees for each award category are published in the official Entry Pack and on the Website. Fees are denominated in US Dollar (USD) and, where applicable, in the local currency of the Payer's jurisdiction as specified on the payment page.

⚠ Note: Specific fee amounts are published in the Application Brochure. Fees are subject to change between programme cycles. The fee applicable at the time of submission is the binding fee.

2.2 Multiple Category Applications

Applicants may submit entries across more than one award category and theme. A separate fee is payable for each category and theme entry, unless a multi-category discount is expressly stated in the Application Brochure. No bundled or discounted rate shall apply unless confirmed in writing by Clima Awards.

2.3 VAT and Taxes

All fees are quoted inclusive of applicable taxes unless expressly stated otherwise.

3. Accepted Payment Methods

We accept the following payment methods:

We do not accept cash payments, cryptocurrency, cheques, or any payment method not listed above. Clima Awards reserves the right to add or remove accepted payment methods at any time, with reasonable notice provided on the Website.

4. Payment Process and Confirmation
4.1 Payment Submission

Payment must be completed at the time of submitting an application, unless a prior written agreement for invoiced payment has been made with Clima Awards. An application will only be considered complete and eligible for assessment upon receipt of full payment.

Upon successful payment, a confirmation email will be sent to the email address provided during the application process. This confirmation will include:

If you do not receive a confirmation email within 48 hours of payment, please contact us at support@climaawards.com. It is the Payer's responsibility to retain payment confirmation records.

4.3 Failed Payments

Where a payment fails, is declined, or is reversed by a card issuer or bank, the associated application will be placed on hold and will not be processed until full payment is received. Clima Awards accepts no liability for any loss arising from a failed payment, including the loss of an application submission deadline.

4.4 Currency and Exchange Rates

Fees are primarily denominated in USD. Where local currency pricing is offered, the exchange rate applied is set at the time of payment and may vary from published indicative rates. Clima Awards is not responsible for any exchange rate fluctuations or bank charges incurred by the Payer in connection with currency conversion.

5. Invoicing and Receipts

Invoices are issued electronically to the email address provided during registration. All invoices will include:

Invoices issued by Clima Awards are payable within 14 calendar days of the invoice date, unless otherwise stated on the invoice. Late payment may result in an application being withheld from the assessment process.

6. Refund and Cancellation Policy
6.1 General Position

All application and entry fees are non-refundable once payment has been received and the application has been submitted, except as provided in this Clause 6 or as required by applicable law.

6.2 Circumstances in Which a Refund May Be Granted

Clima Awards may, at its sole discretion, grant a refund or credit in the following circumstances:

6.4 Consumer Rights — UK Payers

Where a Payer is a consumer (i.e., an individual acting outside the course of their trade or profession) based in the UK, they may have a right to cancel under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. However, by submitting an application and making payment, the Payer expressly requests that the service commence immediately, and acknowledges that the right to cancel is thereby lost once the application has been submitted.

Nothing in this Policy affects any statutory rights a consumer may have under UK law.

6.5 Refund Process

To request a refund under the circumstances set out in Clause 6.2, the Payer must contact us in writing at support@climaawards.com, providing the transaction reference number, the reason for the request, and supporting evidence where applicable.

Approved refunds will be processed within 14 business days to the original payment method used. Clima Awards is not responsible for any bank processing delays beyond our control.

7. Sponsorship and Partner Payments

Sponsorship and partnership agreements are governed by separate written agreements between Clima Awards and the relevant sponsor or partner. The terms of such agreements, including payment schedules, deliverables, and cancellation provisions, shall prevail over this Policy to the extent of any inconsistency.

Where a Payer fails to settle an invoice by the due date, Clima Awards reserves the right to:

9. Payment Fraud and Chargebacks

Clima Awards takes payment fraud seriously. Any attempt to make a payment using stolen, fraudulent, or unauthorised payment credentials will be reported to the relevant authorities and may result in permanent disqualification from the Programme.

Where a Payer initiates a chargeback or payment dispute with their card issuer or bank without first contacting Clima Awards to resolve the matter, we reserve the right to:

10. Payment Data and Data Protection

All payment transactions are processed through a PCI-DSS compliant third-party payment processor. Clima Awards does not store card numbers, CVV codes, or other sensitive payment authentication data on our own systems.

Payment-related personal data (such as name, billing address, and transaction history) is processed in accordance with our Privacy Policy and applicable data protection legislation, including:

Payments from entities or individuals designated under applicable sanctions regimes will not be accepted, and any application associated with a sanctioned party will be immediately disqualified.

12. Jurisdiction-Specific Payment Considerations

In addition to the general terms above, the following jurisdiction-specific provisions apply:

13. Amendments to This Policy

Clima Awards reserves the right to amend this Payment Policy at any time. Material changes will be published on the Website and, where reasonably practicable, communicated to registered applicants by email at least 14 days before the changes take effect.

Continued use of the Website or submission of an application following publication of an updated Policy constitutes acceptance of the revised terms. The version of this Policy in force at the time of payment shall govern that transaction.

14. Governing Law and Dispute Resolution

This Policy is governed by and construed in accordance with the laws of England and Wales. Any dispute arising out of or in connection with this Policy shall first be referred to good-faith negotiation between the parties.

If a dispute cannot be resolved within 30 days of written notice, either party may refer the matter to the courts of England and Wales, subject to any mandatory local jurisdiction requirements applicable to Payers in MEA jurisdictions.

Nothing in this Policy prevents either party from seeking urgent injunctive or other equitable relief from a competent court. Clima Awards is open to alternative dispute resolution mechanisms, including mediation, where agreed by both parties in writing.
